How to bring your WhatsApp Business app chats into a team inbox (Coexistence history sync)
With WhatsApp Coexistence you can connect the number you use in the WhatsApp Business app to a team inbox and bring your recent chats and contacts with you. Here is what comes across, what stays behind, and why the first 24 hours matter.

To bring your WhatsApp Business app chats into a team inbox, connect the same number to the WhatsApp Business Platform with WhatsApp Coexistence, agree to share your chat history when the app asks, and run the history and contact sync right after connecting. Your recent one-to-one chats (up to about six months, per Meta) and your WhatsApp contacts then appear in the shared inbox, while the app keeps working on your phone. Group chats don’t come across, older media is limited, and the sync has to happen in the first hours after you connect.
That last point catches people out. History sync is not something you can do next month when you have time. Plan the connection for a day when you can finish it, and the inbox starts with context instead of a blank list.
Why bring app chats into a team inbox at all
A WhatsApp Business app number usually carries years of customer relationships: regulars, open quotes, people waiting for a callback. When you move the team to a shared inbox, losing that context hurts:
- Agents can’t see what the owner already promised. “As discussed, 10% off” means nothing without the earlier messages.
- Customers have to repeat themselves. The fastest way to make an existing customer feel like a stranger.
- You can’t tell new contacts from old ones. Without contacts and history, every incoming message looks like a first-time lead.
Coexistence was built for exactly this: keep the number customers know, keep the app on the owner’s phone, and add a team, automations and AI on the same chats. Our full guide to WhatsApp Coexistence covers the feature in general; this article focuses on getting the history and contacts across.
What syncs and what doesn’t
| Item | Synced to the team inbox? | Notes |
|---|---|---|
| One-to-one chat history | Yes, if you share it | Up to about six months (180 days), per Meta. You choose in the app whether to share it |
| Media in old chats | Partly | Meta only includes media for messages from about the last 14 days |
| Contacts | Yes | Contacts with a WhatsApp number; later additions and edits sync too |
| Group chats | No | Groups keep working only in the app |
| New messages from customers | Yes | Arrive in both the app and the inbox |
| Replies from the app on your phone | Yes | Mirrored to the inbox as messages sent by the business |
| Replies from WhatsApp for Windows or WearOS | No | Not mirrored |
| Broadcast lists, labels, quick replies, catalog | No | They stay in the app; broadcast lists become read-only after connecting |
Two more details from Meta’s documentation are worth knowing before you start:
- Linked devices are unlinked during onboarding. Relink your companion devices afterwards.
- History and contact sync are one-time steps. If the sync window passes, the business has to disconnect and onboard again to sync.
The 24 hours after you connect
There are two different “24 hours” in this story, and it helps to keep them apart.
The sync window
The history and contact sync have to be started soon after the number is connected. In MonoChat, the Sync History Message and Sync History Contact options are shown only during the first 24 hours after connecting. Do the sync in the same session as the connection, keep the WhatsApp Business app open on the phone while it runs, and check the progress before you close the laptop.
The customer service window
Imported chats are history, not open conversations. On the API side, the 24-hour customer service window only opens when a customer writes to you after onboarding. So if a customer last wrote three days before you connected:
- Your team can read the whole chat in the inbox.
- Your team can only start a new message through the API with an approved template message.
- The owner can still reply from the WhatsApp Business app, since Meta says messages sent from the app are free and don’t open or change API windows.
- As soon as the customer writes again, the window opens and the team can reply freely.
In practice, the imported history is most valuable for the customer who writes again next week: the agent sees the full background immediately.
Echoes: replies from the phone appear in the inbox
After connecting, replies sent from the app on the main phone appear in the shared inbox too. Meta sends them to the platform as “message echoes”. This matters for day-to-day work:
- When the owner answers a VIP from the phone, the team sees the reply and doesn’t answer twice.
- The conversation timeline shows the owner’s messages next to the team’s, so the next agent has the full picture.
- If a phone reply and an agent reply cross, both are visible in one thread, so you can fix it.
Agree on a simple rule with whoever keeps replying from the phone, for example: “If a conversation is assigned to someone in the inbox, leave it to them.”
Step by step: bring your app chats into a team inbox
Before you start
- Check eligibility. Coexistence is only available for numbers and accounts Meta supports, and you need a recent version of the WhatsApp Business app. Our Coexistence guide lists the requirements.
- Update the app on the main phone and make sure the phone is online, charged and nearby.
- Decide who gets access to the imported history. Old chats can contain personal or sensitive details, so set up roles before you invite the whole team (see below).
- Pick a quiet time. You’ll need the phone, a laptop and about half an hour without interruptions.
Connect and sync
- Start the WhatsApp connection in your platform and choose to connect an existing WhatsApp Business app number.
- Confirm in the app. Meta’s official business account sends a message asking you to connect to the Business Platform.
- Agree to share your chat history when asked. If you skip this, there is nothing to import.
- Enter the verification code shown during the flow to finish connecting.
- Start the history sync and the contact sync straight away, and keep the app open while they run.
- Relink companion devices if you used any.
After the sync
- Spot-check a few chats you know well: a recent one, one from a few months ago, one with photos.
- Assign important open threads or add an internal note, for example unpaid quotes or promised callbacks, so someone follows up.
- Prepare templates for reaching customers whose last message is older than 24 hours.
- Tell the team how to treat imported chats. History is context, not a queue of new conversations to answer.
Who should see the imported history?
A shared inbox makes history visible to everyone who can see the conversation. That is usually the point, but think it through:
- Agents may only need the conversations assigned to them, especially if old chats include addresses, health details or payment issues.
- Team leads need everything in their team to reassign and review.
- Temporary staff or agencies may need no access to history at all.
Set this up with roles and permissions before you invite people. Our guide to team inbox roles and permissions walks through a sensible setup.
Common mistakes
- Connecting on a busy Friday afternoon and leaving the sync for Monday, after the window has passed.
- Declining the history prompt in the app without realising that’s where the choice is made.
- Expecting group chats to come across. They stay on the phone.
- Messaging every imported contact with a promotion. Contacts in your phone are not marketing opt-ins. Follow the WhatsApp opt-in rules before any campaign.
- Leaving the main phone unused. Coexistence depends on the app staying active; Meta lists long inactivity of the primary device, around 14 days, as a reason the connection can drop.
How MonoChat does it
MonoChat is an official Meta Business Partner and supports WhatsApp Coexistence on the Cloud API.
- Connect. In Settings › Channels › Connect, choose WhatsApp Business API (Cloud). In Meta’s signup window, choose Connect a WhatsApp Business App and confirm on your phone. Your WhatsApp Business app stays active while MonoChat connects the same number.
- Sync history and contacts. Open the channel’s ⋮ menu and choose Sync History Message and Sync History Contact. These options are shown only during the first 24 hours after connecting, and the progress appears as “History syncing” with a percentage. Imported chats keep quoted messages, so replies to earlier messages still make sense.
- Work as a team. Conversations arrive in the unified team inbox, including replies sent from the phone. Assign owners, add internal notes, and use roles and permissions to decide whether an agent sees every conversation or only their own.
Our code doesn’t set the length of the history; that comes from Meta and from what you agree to share in the app. Create a free account at app.monochat.ai to start, or contact us if you’re not sure your number is eligible.
