WhatsApp Appointment Booking and Reminders: A Complete Setup Guide
Customers already message you on WhatsApp. Here is how to turn those messages into booked appointments, and how to send reminders they can confirm or move with one tap.

WhatsApp appointment booking lets customers choose a service, date and time inside a WhatsApp chat and get an instant confirmation, without calling you or visiting a website. You set it up on the WhatsApp Business API with a booking flow (quick-reply buttons or a WhatsApp Flows form) connected to your calendar, then send reminders as approved utility template messages with Confirm, Reschedule and Cancel buttons.
The result is fewer phone calls during busy hours, bookings that come in at night, and fewer no-shows because people can move an appointment with one tap instead of just not turning up. This guide walks through the booking flow, the reminder schedule, template wording, costs and the rules that keep your messages compliant.
Can you book appointments on WhatsApp?
Yes, but not with the WhatsApp Business app alone. The app gives you greeting and away messages, quick replies and labels, which is fine for a few manual bookings a day. Automated booking needs the WhatsApp Business API (the WhatsApp Business Platform), because that is where you get:
- Interactive buttons and lists your booking bot can use
- WhatsApp Flows, native forms that open inside the chat
- Approved template messages, which you need to send reminders after the 24-hour window
- Integrations with your booking system or calendar

How WhatsApp appointment booking works, step by step
A good booking conversation asks only what it needs, in the order a receptionist would.
- The customer starts the chat from your website button, Instagram bio, Google profile or a QR code at reception. See our guide to WhatsApp links and QR codes.
- The bot greets and asks what they need, with buttons for your main services.
- It narrows down the details: location, staff member, preferred day.
- It offers free slots from your calendar as buttons.
- It collects the name and any notes, and confirms the booking.
- It schedules the reminders and hands complex requests to a person.

Buttons or a WhatsApp Flows form?
For two or three quick choices, buttons in the chat work well. For bookings that need several fields, a WhatsApp Flow is cleaner. A Flow is a multi-screen form that opens on top of the chat. Meta’s Flows components include a DatePicker and a CalendarPicker, and both can block specific unavailable dates, so customers can’t pick a day you are closed. A Flow can also load live options, such as time slots, from your own system through an endpoint.
You can send a Flow during a conversation the customer started, as a message with a call-to-action button. You can also attach it to a template message with a Flow button, for example in a “Time to book your next checkup” reminder.
Use buttons when:
- The booking has one service and few time options
- Most customers book the same thing
Use a Flow when:
- You need service, staff, date, time and notes together
- You want a calendar view rather than a list of times
- You ask intake questions before the visit
How to send WhatsApp appointment reminders
Reminders are where WhatsApp pays off most. A reminder people can answer with one tap turns a silent no-show into a rescheduled slot.
The 24-hour rule for reminders
When a customer messages you, a 24-hour customer service window opens. Inside it you can send any message. Once it closes, you can only send approved template messages. Appointments are usually days away, so reminders almost always go out as templates.
Utility or marketing?
Meta classifies a template as utility when it is non-promotional and specific to, or requested by, the customer. A reminder about a booked appointment fits that definition. Templates with mixed content, such as a reminder plus a discount on another service, are classified as marketing. Meta can also recategorize a utility template that should be marketing, and repeated misuse can lead to restrictions on your utility templates. Don’t send more than you need. Two messages per appointment, confirmation and main reminder, are enough for most businesses.
How much do WhatsApp appointment reminders cost?
WhatsApp Business API pricing is per delivered template message, by category and the recipient’s country. According to Meta’s pricing documentation:
- Utility templates sent outside a customer service window are charged at the utility rate.
- Utility templates sent inside an open customer service window are also charged since October 1, 2026, and so are non-template (service) replies after the first 1,000 per business phone number each month.
- A confirmation sent while the customer is still chatting with your booking bot is inside the window.
That makes the main reminder the message you typically pay for. Rates differ by country and change over time, so check the calculator for your market.
