WhatsApp for Retail Stores: Click & Collect, Stock Questions and Loyalty
Shoppers already message stores to ask about sizes, stock and opening hours. Here is how shops and small chains use WhatsApp to turn those questions into reservations, keep customers informed about orders and run a loyalty club within Meta's rules.

WhatsApp for retail means using the WhatsApp Business Platform to answer product, size and stock questions, take click & collect reservations, send order and delivery updates and run a loyalty club from one store number that every shop and the head office can work from. It fits fashion and shoe stores, electronics and home shops, sports and toy stores and small chains, where customers would rather send “Do you have this in a 40?” than call or drive over to check.
Done well, it turns a quick stock question into a reserved item waiting at the till. Done badly, it becomes a set of personal phones in each store and promotions nobody asked for. This guide covers the use cases, sample messages and templates, the rules on consent and commerce, the costs and how to set it up in MonoChat.
Why shops move to a WhatsApp business number
Most stores already get WhatsApp messages on a manager’s phone or the Business app on one device. That works until there are several stores, a busy season or a staff change. A shared business number on the API fixes that:
- Stock questions get answered. A shopper asking about a size gets a reply from whoever is free, not from one person who is busy on the shop floor.
- One number for every store. Messages are routed to the right store, and the head office sees the whole picture.
- Fewer wasted trips. “It’s in stock at the City Centre store, shall I hold it?” saves a visit to the wrong branch.
- Repeat customers. Order updates, reservation reminders and loyalty points keep you in a channel customers open every day.
If you are still on the Business app, read WhatsApp Business app vs API and WhatsApp multiple users and team inbox first.

Answer stock questions without walking to the stockroom
The most common retail question is some version of “Do you have it, in my size, near me?” Give answers by store, and decide whether you show exact numbers or just “in stock”, “only a few left” and “out of stock”. Send the product as a card with a photo and price rather than a wall of text:
Customer: Hi, do you have the black Chelsea boots in size 39?
Store: Hi Elif, yes. Size 39 is in stock at City Centre and there are only
a few left at Riverside. Would you like us to hold a pair for you?
[Reserve] [Details]
If stock lives in your till or ERP, connect it rather than asking staff to update two places.
Run click & collect in the chat
Click & collect on WhatsApp is a reservation: the customer picks the item and the store, gets a code and pays when they collect. Three messages carry it:
- Confirmation with the item, store, reservation code and how long you hold it.
- Ready for pickup when staff have set the item aside.
- Reminder before the hold ends, with buttons to confirm, ask for more time or cancel.
When the hold ends, release the stock so the same item is not promised twice. Buttons and lists are covered in WhatsApp interactive messages.
Point shoppers to the nearest store
A customer who shares their location should get the closest stores with today’s opening hours and a map link. That alone answers most “Are you open on Sunday?” messages.
Cut “where is my order?” chats
If you also sell online, send order confirmations, shipping and delivery updates as they happen, and let customers ask for status by order number. Our guide to WhatsApp abandoned cart recovery and order updates goes into timing and template wording.
Start chats from the shop window and the shelf
A QR code on a shelf tag, a window poster or a receipt opens a chat with a prefilled message, so you know which store or product it came from. See WhatsApp link, QR code and button for how to build them.
Run a loyalty club in the chat
A loyalty club works well on WhatsApp because customers can join, check their points and receive rewards in the same thread. Keep the mechanics simple: points per purchase, tiers by spend and rewards that convert points into a coupon.
Customer: How many points do I have?
Store: Hi Sara, you have 480 points and you are a Silver member.
At 500 points you can turn them into a reward coupon.
WhatsApp templates for retail stores
Messages you start outside the 24-hour customer service window must be approved template messages. Meta’s template guidelines say utility templates must be non-promotional and specific to the user’s order, account or transaction; coupons and promotional offers are marketing, and templates that mix the two are classified as marketing.
Click & collect confirmation (utility)
Your reservation is confirmed, {{1}}.
Item: {{2}}
Store: {{3}}
Reservation code: {{4}}
We will hold it until {{5}}. Pay at the till when you collect.
Ready for pickup (utility)
Hi {{1}}, your {{2}} is ready at {{3}}. Show code {{4}} at the till.
[Get directions]
Hold ending reminder (utility)
Hi {{1}}, your reservation for {{2}} at {{3}} ends at {{4}}.
[On my way] [I need more time] [Cancel it]
Order shipped (utility)
Good news, {{1}}. Your order {{2}} has shipped. Track it here: {{3}}
Loyalty reward (marketing, opted-in contacts only)
Hi {{1}}, you have {{2}} points. Turn them into a {{3}} coupon for your next
visit, in store or online. Reply STOP to opt out.
[Get my coupon] [Stop offers]
Keep the line clean: no “10% off your next order” in a ready-for-pickup message, or it becomes marketing. Abandoned cart reminders are marketing too, even if the shopper asked for them. For more samples, see WhatsApp template message examples.
Rules for retail stores on WhatsApp
- Opt-in first. The WhatsApp Business Messaging Policy lets you message only people who gave you their number and agreed to hear from your business. Meta’s opt-in guidance says the opt-in must name your business, and it can be collected on your website, by SMS, by phone or in person, which covers the till and in-store forms. See our WhatsApp opt-in guide for wording.
- Separate service from marketing. A customer who reserved a jacket agreed to hear about that reservation, not to weekly offers. Meta recommends separate opt-ins per message category, or one that clearly covers each category you plan to send.
- Honor every stop. The policy requires you to respect opt-out requests made on or off WhatsApp.
- No card numbers in the chat. The policy says not to request full payment card numbers, financial account numbers or other sensitive identifiers. Use a payment link or let customers pay at the till.
- Sell only what is allowed. If you use catalogs or other commerce features, you must follow the Commerce Policy. It prohibits categories such as firearms, alcohol and tobacco, adult products, live non-endangered animals (excluding livestock) and medical and healthcare products. Limited exceptions exist for some regulated goods, such as alcohol, only on the Business Platform in approved countries with age gating and the required licenses. You remain responsible for your own sales terms, transactions and taxes.
- Offer a human. When you automate replies, the policy requires a clear escalation path, such as a transfer to a staff member, a phone number, email or an in-store visit.
- Know the delivery limits. Meta’s documentation says WhatsApp does not currently deliver marketing templates to US phone numbers, and it can cap how many marketing templates a person receives from all businesses. Plan seasonal campaigns with that in mind; our Black Friday WhatsApp campaigns guide covers timing and limits.
What WhatsApp messaging costs a store
WhatsApp has charged per delivered message since July 1, 2025, by category (marketing, utility, authentication) and the recipient’s country code. Since October 1, 2026, Meta also charges for service messages (your free-form replies inside the 24-hour window) and for utility templates sent inside that window, at the market’s utility rate. Conversations that start from a Click-to-WhatsApp ad still open a free entry point window of 72 hours.
Two worked examples using the October 2026 rates in our bulk messaging calculator:
| Store | Message | Volume per month | Rate (USD) | Cost (USD) |
|---|---|---|---|---|
| Small chain in Turkey | Click & collect: 2,000 reservations x 3 updates (utility) | 6,000 | 0.0009 | 5.40 |
| Small chain in Turkey | Loyalty reward campaign (marketing) | 10,000 | 0.0109 | 109.00 |
| Boutique in the UK | Click & collect: 800 reservations x 3 updates (utility) | 2,400 | 0.022 | 52.80 |
| Boutique in the UK | New season campaign (marketing) | 3,000 | 0.0635 | 190.50 |
Reservation and order updates are cheap; marketing is where the bill grows, so target campaigns. For the full picture, see WhatsApp Business API pricing.
How to run retail messaging in MonoChat
MonoChat is an official Meta Business Partner. Connect your WhatsApp Business API number, plus Instagram and web chat, and every store, customer service and marketing answer from one shared team inbox, with conversations routed to the right store or team. The retail solution page shows the journey from product question to pickup, delivery and repeat purchase, with dedicated pages for the in-store QR assistant and loyalty automation. Reminders and follow-ups run on workflow automation.
Store Assistant from the MonoChat Store
Store Assistant is an AI store desk for shops and small chains of stores. It works on WhatsApp, Instagram and web chat, around the clock, in the customer’s own language, including voice messages. In practice it:
- Shows products as cards with photo, price and Reserve and Details buttons when customers ask for a product, size or color. Returns, exchanges, delivery and your own questions are answered only from the text you approve.
- Says what is in stock at each store: in stock, only a few left or out of stock, without showing numbers unless you allow it.
- Takes click & collect reservations. The customer picks the store, gets a reservation code and pays at the till. The item is held for the time you set, reservations hold stock so it is not promised twice, and a reminder with On my way, I need more time and Cancel it buttons goes out before the hold ends. When time is up, the reservation ends and the stock is released.
- Finds the nearest store from a shared location, with today’s opening hours and a map link.
- Answers “Where is my order?” by order number or phone, with status and tracking link, and tells customers when an order is shipped, out for delivery, delivered or cancelled.
- Runs a loyalty club with points for every purchase, tiers by spend, rewards that turn points into coupons and a birthday gift. Customers join and ask for their points in the chat.
- Creates a QR code or link for each store, window or event, so the chat starts with the right store, and sends campaign messages to a chosen group with an optional personal coupon.
- Gives your team a store desk with today’s reservations to prepare, ones about to expire, open orders, new leads, low stock and messages taken, plus reports on sales, reservations, top products and stores.
Stock and orders can be kept in the panel, imported from a CSV file or sent from your web shop, ERP or till through the HTTP API. Sample data for a fashion store with three stores lets you try everything first. Whenever a person is needed, it hands the conversation to your team or takes a message. Each automatic message can be turned off, WhatsApp templates are submitted for you, nobody who said stop is messaged, quiet hours are respected, and the come-back message for customers who have not bought for a while stays off until you turn it on.
If you sell only online, Shop Assistant is the online shop version: product cards with a Buy button that opens your shop’s own checkout, abandoned cart reminders, order tracking and returns, connected to Shopify or your own platform.
You can start on the free Basic plan (one agent, one channel) at app.monochat.ai and compare plans on our pricing page.
