Turn WhatsApp chats into tasks so no follow-up gets lost

"We'll get back to you tomorrow" is the easiest promise to make in a chat and the easiest to forget. Here is how to turn each one into a task with an owner and a reminder, and how to reach the customer again once the 24-hour window has closed.

To stop WhatsApp follow-ups from getting lost, turn every promise made in a chat into a task that is linked to the conversation, has one owner and a state, and carries a reminder for when it is due. Then reach the customer again the right way: a normal reply while the 24-hour customer service window is open, and an approved template after it closes.

This guide covers which chats need a task, what a good task holds, the WhatsApp rule that shapes follow-ups, and how to run it in MonoChat.

Why chat follow-ups slip

A chat feels finished when the customer says “thanks”. The work often isn’t:

  • “Can someone call me back about the invoice?”
  • “Please send me a quote for 40 units.”
  • “The parcel arrived damaged” and a replacement has to be arranged.
  • “I’ll send the documents tomorrow” and someone has to check that they arrived.

In a busy inbox, that next step lives in the agent’s memory or a sticky note. Shifts change, the chat is closed, and the customer writes again three days later asking what happened. Saved replies and auto-replies don’t help here; the gap is ownership.

Which conversations deserve a task

Not every chat needs one. Create a task when:

The chat ends with…Example task
A promise with a time”Call back about invoice 2291 before Friday”
Work for another team”Warehouse: send replacement for damaged order 1048”
Something to wait for”Check that the customer uploaded the ID documents”
A sales next step”Send the quote for 40 units and follow up on Tuesday”
A complaint to resolve”Refund approved by finance? Confirm with the customer”

If the answer can be given in the chat right now, give it. A task is for what can’t be finished inside the conversation.

What a good task holds

  • A title that says the next step, not the topic: “Send replacement” beats “Damaged parcel”.
  • One owner. A task that belongs to everyone belongs to no one.
  • A state that matches how your team works, such as pending, in progress and done.
  • The link to the customer and the chat, so whoever picks it up reads the history instead of asking the customer again.
  • Files: the photo of the damage, the invoice, the signed form.
  • A reminder with a date, so the promise surfaces before the customer has to chase it.

The WhatsApp rule that shapes follow-ups

According to Meta, a 24-hour customer service window starts when a customer messages or calls you, and resets with each new message or call. Inside it you can reply freely. When it closes, you can only send pre-approved template messages.

Most follow-ups land after 24 hours: the replacement ships on Thursday, the quote is ready next week. So prepare the templates before you need them, for example “Your replacement for order 1048 has shipped” or “Your quote is ready, reply to this message to see it”. Messages about a specific order or request are usually utility templates; anything that promotes is marketing. Meta charges per delivered template by category and country, as our WhatsApp API pricing guide explains. For wording, see WhatsApp template message examples.

How to do it in MonoChat

MonoChat puts WhatsApp, Instagram, Messenger, TikTok, Telegram and web chat in one team inbox. The MonoChat Tasks app adds tasks next to the chat.

1. Install the app. Install MonoChat Tasks from Settings › MonoStore › Apps. It adds a TODO item to the left menu with Tasks, Reminders and Settings. The app’s screens are in English.

2. Set your task states. Under TODO › Settings, three states are created on install: Pending, In Progress and Done. Rename them or add your own, for example “Waiting for customer”.

3. Create the task from the chat. In the conversation, click Customer Tasks next to the chat and create a task with a Title, a description, Files and the Agent User who owns it. The task is linked to that customer and conversation.

4. Discuss it inside MonoChat. The team talks about the task in its comments, and new comments are marked, so the warehouse and support can agree on a replacement without a side chat.

5. Add a reminder. Give the task a reminder with a date and a note. TODO › Reminders lists them on All, Overdue, Today, Tomorrow, Week and Month tabs.

6. Work the list. TODO › Tasks has tabs for Today’s Updates, All, Me, Not Assigned and each state. Start each shift with Me and Overdue, and have a supervisor check Not Assigned once a day.

7. Close the loop with the customer. When the work is done, open the linked chat and reply, or send your follow-up template if the window has closed. Then move the task to Done.

Your roles and permissions still decide who sees which conversations. If an AI assistant answers first, hand the chat to a person when a task is needed; see AI-to-human handoff.

Three habits that make it work

  1. No promise without a task. If an agent writes “we’ll get back to you”, a task exists before the chat is closed.
  2. Review overdue tasks daily. An overdue task is a customer about to write “any update?”.
  3. Track it like support. Count tasks closed late next to your first response and resolution times; see chat support metrics and SLAs.

For customers who go quiet after your reply, pair this with follow-ups for unanswered chats.

FAQ

Frequently asked questions

Why do follow-ups from WhatsApp chats get lost?

Because the promise lives only in the chat. Once the conversation is closed or scrolls down the list, nobody owns the next step. A task with an owner, a state and a reminder keeps the promise visible after the chat ends.

Can I message the customer again after 24 hours?

Only with an approved template. The customer service window lasts 24 hours from the customer's last message or call; after it closes, WhatsApp allows only pre-approved template messages, so prepare a utility template for follow-ups such as "your replacement has shipped".

How do I create a task from a WhatsApp chat in MonoChat?

Install the MonoChat Tasks app, open the conversation and click Customer Tasks next to the chat. A task created there is linked to that customer and conversation, and you give it a title, a description, files and an agent.

Can the team discuss a task without messaging the customer?

Yes. Each task has its own comments for the team, and new comments are marked, so the discussion stays out of the customer's chat.

How do reminders work in MonoChat Tasks?

You add a reminder with a date and a note to a task. The Reminders screen lists them on All, Overdue, Today, Tomorrow, Week and Month tabs, so the team sees what is due.
