WhatsApp for Car Dealers: Test Drives, Trade-Ins and Workshop Updates in One Chat
Buyers ask about stock on WhatsApp and owners want to know when their car is ready. Here is how dealers and workshops turn those chats into test drives, approvals and paid jobs.

WhatsApp for car dealers means handling the two conversations that drive your revenue, buying a car and servicing one, in the chat app your customers already use. In practice you send matching cars from stock as cards with photos, book test drives and service visits with buttons, collect part-exchange details and photos, and keep workshop customers updated until the car is ready and paid. All of this runs on the WhatsApp Business API, with approved template messages for anything you send after the 24-hour window.
The payoff is faster replies to hot leads, fewer “is my car ready?” phone calls, and a written record of what each customer asked, approved and paid. This guide covers the use cases that matter most for showrooms and workshops, sample messages, the rules that apply to dealers, real cost examples and how to set it all up.
Why car dealers move sales and service to WhatsApp
A car purchase is a long conversation: the buyer asks about stock, compares, wants more photos, asks about finance, books a test drive, thinks about it and comes back. A service visit is a short one that repeats every few months. Both suit WhatsApp better than phone tag or email:
- Leads arrive there anyway. Click-to-WhatsApp ads, listing site enquiries and the button on your website all open a chat. See our guide to click-to-WhatsApp ads.
- Photos and documents travel well. Customers send pictures of their part-exchange car or a warning light; you send walkaround photos, quotes and the bill.
- Answers are written down. A quoted price, an approved repair or an agreed collection time sits in the chat, not in someone’s memory.
- Customers reply when it suits them. A buyer browsing at 11 p.m. can still book Saturday’s test drive.
The WhatsApp Business app on one phone stops working once sales, service and reception all need the same number. The WhatsApp Business API adds a shared inbox, automation, template messages and integrations with your stock list or dealer management system.

Sending cars from stock
When a buyer writes “Do you have a hybrid SUV under 30k?”, the fastest good answer is a short list of real cars with photos. On WhatsApp, several cars can go out as a swipeable carousel message, each card with a photo, price, year, mileage and buttons such as More photos and Book a test drive. Keep every detail tied to your actual stock list. A price you never entered or a car you sold last week costs more trust than a slow reply.
Test drive booking
A test drive flow needs four things: the model, the branch, the day and time, and the customer’s name. Free times can be offered as buttons, or for more fields as a WhatsApp Flows form that opens inside the chat. Our test drive booking page shows a full example.
Customer: Is the grey SUV from your ad still available for a test drive?
Dealer: Yes, it's in stock at our North branch. When would suit you?
[Sat 10:00] [Sat 14:00] [Another day]
Customer: Sat 14:00
Dealer: Booked: test drive, Saturday 14:00, North branch.
Please bring your driving licence. We'll remind you on Friday evening.
Part-exchange details
Most buyers have a car to trade in. Ask for make, model, year, mileage, condition and a few photos in the chat, and pass the complete set to whoever values cars. Avoid letting a bot name a value: a number given in the chat is a number the customer will hold you to. See trade-in lead collection for the details worth collecting.
Finance questions
Customers often ask “What would the monthly payment be?” before they visit. If you show an example payment in the chat, label it clearly as an example, not an offer, and hand the customer to a salesperson for actual terms. Consumer credit is regulated in most markets, so check with your finance partner what you may say in writing.
Workshop booking, status updates and approvals
On the service side, WhatsApp replaces the calls that interrupt your service advisors all day:
- Booking: the owner picks a drop-off time and can send photos of the problem.
- Checked in: a short message confirms the car has arrived.
- Extra work found: the owner gets the items and total with Approve, Decline and Call me buttons.
- Ready: the owner gets the total and a payment option.
Hi Omar, during the inspection of your car we found that the front brake pads need replacing. Parts and labour: {{1}}. This adds about one hour. Do you want us to go ahead?
[Approve] [Decline] [Call me]
A written approval protects both sides when the bill arrives. More examples are on our car repair status updates page.
WhatsApp template examples for car dealers
Messages you send after the 24-hour customer service window closes must be approved template messages. Here are templates that fit a dealership, with the category Meta is likely to assign. More ideas are in our WhatsApp template message examples.
Test drive reminder (utility):
Hi {{1}}, a reminder that your test drive of the {{2}} is tomorrow at {{3}} at our {{4}} branch. Please bring your driving licence.
[I’ll be there] [Change time] [Cancel]
Service booking confirmation (utility):
Hi {{1}}, your {{2}} is booked in for {{3}} on {{4}} at {{5}}. Drop-off from {{6}}. Reply here if you need to change it.
Car ready (utility):
Hi {{1}}, your {{2}} is ready for collection. Total: {{3}}. We’re open until {{4}} today.
[Pay now] [Call us]
Service due reminder (check the content):
Hi {{1}}, our records show your {{2}} ({{3}}) is due for its next service. Would you like to book a time?
[Book a service] [Not now]
New stock alert (marketing):
Hi {{1}}, a {{2}} matching what you asked about has just arrived: {{3}}, {{4}} km. Want photos or a test drive?
[See photos] [Book a test drive] [Stop messages]
Meta classifies a template as utility when it is non-promotional and specific to, or requested by, the customer. A message that mixes an update with an offer, such as “your car is ready, and 20% off tyres this month”, is classified as marketing. Meta can also move a utility template that should be marketing into the marketing category, and repeated misuse can lead to limits on your utility templates. Keep service updates purely about the job, and send offers as separate marketing templates.
Rules car dealers need to know
- Opt-in first. WhatsApp’s Business Messaging Policy only lets you message people who gave you their number and agreed to receive messages from you. Capture consent on the enquiry form, the service booking form and at the service desk. Our WhatsApp opt-in guide has wording you can use.
- Respect opt-outs. When someone asks you to stop, on WhatsApp or anywhere else, remove them from your campaigns. Add a Stop button to marketing templates.
- A clear way to reach a person. If you use automation, WhatsApp’s policy requires a prompt, clear escalation path. In a dealership that usually means handover to a salesperson or service advisor in the inbox.
- No marketing templates to US numbers. Meta’s documentation states that WhatsApp does not currently deliver marketing template messages to users with United States phone numbers; attempts fail with an error. US dealers can still send utility templates and reply to customers who write first.
- Per-user marketing limits. Meta limits how many marketing templates each person receives based on their recent engagement, so a big “new stock” blast may not reach everyone. Read how to send bulk messages without getting banned before your first campaign.
How much does WhatsApp cost for a dealership?
Meta charges per delivered message, by category and the recipient’s country. Since October 1, 2026, Meta also charges for service messages (free-form replies) and for utility templates sent inside an open customer service window, at the market’s utility rate. The 72-hour free entry point window that opens when someone messages you from a click-to-WhatsApp ad is unchanged.
Using the rates in our bulk messaging calculator, a workshop handling 400 jobs a month that sends three utility updates per job (booked, ready, rating request) sends 1,200 utility messages:
| Market | Utility rate | 1,200 utility messages | Marketing rate | 2,000-owner campaign |
|---|---|---|---|---|
| United Kingdom | $0.022 | $26.40 | $0.0635 | $127.00 |
| Germany | $0.055 | $66.00 | $0.1365 | $273.00 |
| United Arab Emirates | $0.0157 | $18.84 | $0.0576 | $115.20 |
| North America | $0.0034 | $4.08 | Not delivered to US numbers | n/a |
Service replies and in-window utility messages add to this, so enter your real volumes in the calculator. The full breakdown of categories and windows is in our WhatsApp Business API pricing guide.
How to run sales and service on WhatsApp with MonoChat
MonoChat connects your number through the official WhatsApp Business API (MonoChat is an official Meta Business Partner) and brings WhatsApp, Instagram, Facebook, TikTok, Telegram and web chat into one shared team inbox. Sales, service and reception work from the same conversations, with assignment, notes and tags.
Garage Assistant: a front desk for the showroom and the workshop
Garage Assistant is a MonoChat Store app built for car dealers, showrooms and workshops. It answers on WhatsApp, Instagram and web chat around the clock, understands voice messages and replies in the customer’s language. It has two parts, and you switch each on or off:
- Showroom. It records what the buyer wants (new or used, make, model, body type, fuel, gearbox, budget) and sends the best matches from your stock as cards, as a swipeable carousel on WhatsApp. A car without a price is shown as “price on request”. It books test drives, either as requests a salesperson confirms with one tap or instantly into a free time, and sends a reminder the evening before. It records part-exchange details and photos for your team to value, never naming a value itself, and works out example monthly payments from your rate, deposit and terms, marked as examples. Leads move through New, Qualified, Test drive, Offer and Won or Lost.
- Workshop. It books cars in from your hours and how many cars you take at once, lets owners send photos of the problem, and tells them about each stage: checked in, in progress, waiting for parts, quality check, ready and delivered. Extra work goes to the owner with Approve, Decline and Call me, and the answer appears on the job. The ready message shows the total with Pay now: with a payment integration it sends a payment link and marks the job paid; without one, it sends your payment instructions.
Each automatic message has its own switch, WhatsApp templates are written and submitted on your number for you, and nothing goes out in quiet hours or to anyone who said stop. Campaigns to car owners or buyers are off by default and go out a little at a time as approved marketing templates. Whenever a person is needed, it hands over to your team.
Build your own flows
If you prefer to design the journey yourself, use workflow automation to build test drive, service booking and trade-in flows without code, and connect your CRM or dealer management system through the API, webhooks or custom functions. The automotive solutions page shows the full set of journeys. If you also rent cars, Rental Desk Assistant quotes prices for the dates asked, takes bookings and collects licence and ID photos before pick-up.
You can start on the free Basic plan (1 agent, 1 channel) at app.monochat.ai and see the pricing page when more of your team joins.
