How to follow up with WhatsApp leads without breaking the rules
WhatsApp’s Business Messaging Policy and the platform’s technical rules shape your follow-up:
- Inside 24 hours, reply freely. When a lead messages you, a 24-hour customer service window opens and resets with each new message from them. You can send free-form messages in it.
- After 24 hours, use a template. Once the window closes, you can only start again with an approved template.
- Match the template category to the content. A quote or booking the lead asked for can be a utility template. An offer, discount or “still interested?” message is a marketing template.
- Get opt-in for marketing. You need the person’s permission to receive messages from you. For nurture campaigns, ask explicitly and record it. See WhatsApp opt-in for wording.
- Make stopping easy. Include a “Stop updates” button and honor it every time.
Costs matter at this stage too. Since October 1, 2026, Meta charges per message for service messages (after the first 1,000 per business phone number each month) and utility templates sent inside the 24-hour window, at the market’s utility rate, while chats from Click-to-WhatsApp ads stay free during the free entry point window, which may remain open for up to 7 days after your reply.
