WhatsApp CRM: Keep Every Customer, Chat and Detail in One Record
A WhatsApp CRM ties each chat to a customer record your whole team can read and act on. Here is what that record should hold, when a separate CRM still makes sense, and how to set it up in MonoChat.

A WhatsApp CRM is a customer database tied to your chats. Every conversation on WhatsApp, and on Instagram or your website chat, belongs to one customer record that holds what you know about that person: their details, what they asked about, who on your team owns them, what was agreed and whether they agreed to hear from you. Anyone on the team opens the chat and sees the record next to it.
That matters because customers expect it. In Salesforce’s State of the Connected Customer research, 79% of customers say they expect consistent interactions across departments, and 56% say they often have to repeat or re-explain information to different representatives. On WhatsApp, where the same customer may talk to sales on Monday and support on Thursday, a scattered phone contact list is how that happens.
What a WhatsApp CRM should record
Keep the record small and useful. For most businesses these are enough:
| What | Why | In MonoChat |
|---|---|---|
| Name and phone | Who the customer is | Required fields on every customer |
| Your own fields | Budget, branch, product of interest, order number | Profile Fields, with types such as text, number, date and file |
| Tags | Groups you act on | Tags, set by your team or by flows |
| Owner | Who answers for this customer | The assigned user, which you can filter by |
| Source | How the first conversation started | Initiation Method: Bulk Message, Template Message, Referral Ad, Organic and others |
| History and notes | What was said and agreed | Every conversation of the customer, with notes beside the chat |
| Consent | What you may send them | The Opt-in node in flows, plus a field or tag you keep up to date |
If a field does not change what someone on your team does, leave it out. Every field you collect is a field you have to keep accurate.
Do you still need a separate CRM?
Ask where the work happens.
- The work happens in chat. Shops, clinics, salons, agencies and most service businesses take enquiries, answer, book and get paid in the conversation. The CRM inside the messaging platform is usually enough, and a second system only means typing everything twice.
- The work happens in a pipeline. B2B teams with quotes, deals, accounts and forecasts already live in HubSpot, Salesforce, Pipedrive or Zoho CRM. Keep it, and connect it, so the chat creates and updates records there and the sales team sees the conversation without leaving it.
Most teams start with the first and add the second when the pipeline grows. See how to share one WhatsApp number with a team for the inbox side of the same setup.
How to set it up in MonoChat
- Define your fields. In CRM › Profile Fields, create the fields your team needs, each with a name, a slug and a type. Keep the list short; you can add more later.
- Bring in the contacts you have. Add Customer › Customer Import takes a CSV file, maps its columns to your profile fields (first name, last name and phone are required), and shows invalid rows, duplicates, updates and new entries before you save.
- Let flows fill the record. A flow asks with a Question Answer node and saves the answer with Set Customer Profile Field, and adds a tag with Set Customer Tag. A second flow can start on Profile Field Updated, for example to assign the conversation to sales once a budget is filled in.
- Work from the record in the inbox. Next to every chat, the session widgets show the customer’s profile information, tags and notes. Notes stay visible in later conversations with the same person.
- Filter and save segments. The CRM filters by initiation method, assigned user, created and updated dates, tags and every active profile field. Save Filter keeps a combination you use often, and a saved filter can be the audience of a broadcast. The segmentation guide shows a tag scheme that stays tidy.
- Export when you need to. Export downloads the filtered table as Excel or CSV, and a single conversation can be exported too, as the guide to exporting conversations explains.
Connecting the CRM you already use
- ClickUp: the ClickUp Lead Sync app turns leads and orders from your chats into ClickUp tasks, and what your team changes in ClickUp comes back to MonoChat as a message to the customer, a note, a tag or an event for your flows. Fields can sync both ways.
- HubSpot, Salesforce, Pipedrive, Zoho CRM, Odoo: there is no ready connector in MonoChat. They connect through MonoChat’s API and custom functions that call the CRM’s API, so a new chat can create or update a contact and a change in the CRM can send an approved template. Your developers can build it, or our team builds it with you. See HubSpot + WhatsApp.
Decide which system owns each field before you connect them. If both sides can change the phone number or the deal stage, agree which one wins, or the two systems will keep overwriting each other.
The rules that come with customer data
- Consent is not a contact. Meta’s WhatsApp Business Messaging Policy lets you message people only after they gave you their number and opted in, and you must respect every request to block or stop, made on WhatsApp or elsewhere. See WhatsApp opt-in.
- Use chat data for the chat. The same policy limits what you do with data you get from WhatsApp about a person to what is reasonably needed to support messaging with them, and forbids forwarding information from one customer’s chat to another customer.
- Collect less, keep it right. Where the GDPR applies, personal data must be “adequate, relevant and limited to what is necessary”, “accurate and, where necessary, kept up to date”, and kept “for no longer than is necessary” (Article 5). Other laws, such as the UAE PDPL or India’s DPDP Act, have their own rules; check the one that applies to your customers.
Mistakes to avoid
- One field per person’s habit. “City”, “Location” and “Branch” holding the same answer. Agree on one field per fact.
- Records nobody owns. Leads without an assigned user are leads nobody follows up. Assign in the flow that creates them.
- Notes instead of fields. “Budget around 50k” in a note cannot be filtered. If you will ever filter by it, make it a field.
- Importing everyone into a broadcast. An imported list is not an opted-in list. Keep imported contacts out of marketing sends until you have their consent.
