WhatsApp for Salons: Bookings, Reminders and Rebooking That Fill the Chair

Your clients already message you on WhatsApp and Instagram while your hands are busy. Here is how salons, barbers and spas turn those messages into booked, confirmed and repeat appointments.

WhatsApp for salons means running your front desk in the app your clients already use: answering “how much is a balayage?” in seconds, booking the appointment with the right stylist inside the chat, sending a reminder the day before with Confirm, Reschedule and Cancel buttons, and inviting the client back when their roots or nails are due. On the WhatsApp Business API, this runs automatically while your team keeps working with clients in the chair.

The result is fewer missed calls and DMs, fewer empty slots from no-shows, and more repeat visits. This guide covers the salon use cases that matter most, sample messages and templates, the rules on reminders and promotions, real costs, and how to set it up for a hair salon, barber, nail studio, beauty studio or spa.

Why salons are moving bookings to WhatsApp

Salon work leaves no hands free for the phone. A stylist halfway through a colour can’t answer, and a client who gets voicemail often books elsewhere. Messaging fixes the timing problem, because the client writes when it suits them and gets an answer without anyone stopping work.

  • Questions repeat. Price, duration, which stylist does balayage, parking, opening hours. A good assistant answers them from your own service menu.
  • Bookings come in after closing. Many clients plan their week in the evening. A chat booking flow takes those bookings instead of leaving them for tomorrow’s call-back list.
  • No-shows are expensive. An empty slot can’t be sold later. A reminder clients can answer with one tap lets you refill a cancelled slot in time.
  • Rebooking is predictable. Roots grow out, gel nails need a refill and fades need tidying on a rhythm you already know.

The WhatsApp Business app works for a solo stylist with a few chats a day. Once reception, stylists and a manager share the number, or you want automatic booking and reminders, you need the WhatsApp Business API. Our Business app vs API comparison explains the difference.

Answering price and service questions

The first message is usually a price question. Answer it with numbers from your own menu, the duration and an offer to book. If a price depends on hair length or a consultation, say so honestly instead of guessing.

Client: Hi, how much is a cut and blow-dry? Anything free Saturday?
Salon: A cut and blow-dry is from {{price}} and takes about 60 minutes.
         Saturday has these times free:
         [10:30] [14:30] [16:00]
Client: 14:30 please, with Sara if possible
Salon: Booked: cut and blow-dry with Sara, Saturday 14:30.
We'll send a reminder the day before.

Booking with the right stylist

Salon booking has one twist other industries don’t: the client often wants a specific person. Your flow should ask for a stylist, show only that person’s free times, and offer “first available” for clients without a preference. Duration matters too. A three-hour colour can’t go into a 45-minute gap. Our full guide to WhatsApp appointment booking covers buttons versus WhatsApp Flows forms in detail.

Instagram DMs and story replies

Your work is on Instagram, so many questions start as a reply to a story. Treat Instagram DMs as part of the same booking journey rather than a separate inbox. Our Instagram DM automation guide covers Instagram’s own messaging rules, and the Instagram DM booking for salons page shows a full example.

Deposits for long and high-value services

Bridal hair, extensions, colour corrections and laser packages are where a no-show hurts most. Sending a payment link right after the client picks a slot turns a tentative booking into a commitment. Share your deposit and cancellation terms before the client pays. See WhatsApp payments in chat for how payment links work.

WhatsApp template examples for salons

After the 24-hour customer service window closes, you can only send approved template messages. Most salon messages, including the day-before reminder, fall outside that window. Here are templates that fit salon work. More are in our WhatsApp template message examples.

Day-before reminder (utility):

Hi {{1}}, a reminder of your {{2}} with {{3}} tomorrow at {{4}}. Can you still make it?

[Confirm] [Reschedule] [Cancel]

Patch test reminder (utility):

Hi {{1}}, your {{2}} with {{3}} is on {{4}}. Please pop in for a quick patch test by {{5}}. Tap below if your plans have changed.

[Book patch test] [Reschedule]

Aftercare (utility, if it only covers the treatment):

Hi {{1}}, thank you for visiting today. To keep your {{2}} looking its best: {{3}}. Any questions? Just reply here.

Rebooking invitation (usually marketing):

Hi {{1}}, it has been {{2}} weeks since your {{3}}. {{4}} has a few free times next week. Would you like one?

[Book now] [Remind me later] [Stop messages]

Win-back (marketing):

Hi {{1}}, we’ve missed you at {{2}}. Would you like to see this week’s free times?

[Book now] [Stop messages]

Meta classifies a template as utility when it is non-promotional and specific to, or requested by, the client. A reminder about a booked appointment fits; a reminder with “add a hand treatment for half price” does not, because content that mixes utility and promotion is classified as marketing. Meta can recategorize a utility template that should be marketing, and repeated misuse can restrict your ability to create utility templates. Keep reminders and aftercare clean, and send offers separately.

When to send each message

MessageTiming
ConfirmationImmediately after booking
Patch test reminderBefore colour or lash services, by your own policy
Day-before reminderAbout 24 hours before
Same-day reminderOnly for long services, a few hours before
AftercareShortly after the visit
Rating and reviewA day or so later, once the result has settled
RebookingWhen that service’s usual interval has passed

Rules salons need to know

  • Consent first. WhatsApp’s Business Messaging Policy lets you message people only if they gave you their number and agreed to receive messages from you. Ask during booking, on your website form and at the desk. The WhatsApp opt-in guide has sample wording.
  • Honor every opt-out. If a client asks you to stop, on WhatsApp or in person, remove them from campaigns. Put a Stop button on marketing templates.
  • A real person within reach. Automation is allowed, but WhatsApp’s policy requires a prompt, clear escalation path. Colour corrections, complaints and reactions after a treatment should go to a person.
  • Treat health details with care. Allergies, skin conditions and reactions are sensitive. Save them where your team needs them, don’t let a bot give medical advice, and send photos of a reaction to a specialist.
  • US clients don’t receive marketing templates. Meta’s documentation says WhatsApp does not currently deliver marketing template messages to US phone numbers. Utility reminders and aftercare still work.

What WhatsApp costs a salon

Meta charges per delivered message, by category and the client’s country. Since October 1, 2026 Meta also charges service messages (your free-form replies) and utility templates sent inside an open customer service window, at the market’s utility rate.

Example: a salon with 600 appointments a month sends a confirmation and a day-before reminder for each (1,200 utility messages) and 300 rebooking invitations (marketing). With the rates in our bulk messaging calculator:

Market1,200 utility300 marketingTotal Meta fees
United Kingdom$26.40 ($0.022 each)$19.05 ($0.0635 each)$45.45
Spain$24.00 ($0.02 each)$21.21 ($0.0707 each)$45.21
Brazil$8.16 ($0.0068 each)$18.75 ($0.0625 each)$26.91
Turkey$1.08 ($0.0009 each)$3.27 ($0.0109 each)$4.35

Add your chat replies and aftercare messages, then compare the total with the price of one or two filled no-show slots. For the full rules on categories and windows, see our WhatsApp Business API pricing guide.

How to run your salon front desk on WhatsApp with MonoChat

MonoChat is an official Meta Business Partner. It connects your number through the official WhatsApp Business API, and WhatsApp, Instagram and web chat messages land in one shared team inbox, so reception and stylists see the same conversation.

Salon Assistant from the MonoChat Store

Salon Assistant is an AI front desk for hair salons, barbers, nail studios, beauty studios and spas, on WhatsApp, Instagram and web chat. It understands voice messages and answers in the client’s language.

  • Prices only from your menu. Price and service answers come from the service menu you enter. It never quotes a price you did not enter.
  • Only times that are really free. Times come from your opening hours, each team member’s hours and days off, the services they do and existing bookings, and every booking is checked again on the server.
  • Reminders that cut no-shows. The day before, the client gets a reminder with Confirm, Reschedule and Cancel, answered on the spot. Changes inside your cancellation window come to you instead.
  • Aftercare and reviews. A care message per service after the visit, then “How was it?”. Happy clients get your Google review link; unhappy ones reach you.
  • Bringing clients back. An invitation when a service’s “come back in” time passes, and a “we miss you” for clients who have not been for a while. Both stay off until you switch them on.
  • Phone bookings too. Bookings you take on the phone use the same calendar and rules, and the client gets the confirmation and reminders on WhatsApp.
  • The client beside the chat. Next appointment, visits, allergies and notes appear next to the conversation, and allergies the assistant hears are saved on the client card.

Setup takes about two minutes: pick your kind of salon (a starting service menu is filled in), add your name, hours and team, then your prices. Nothing runs until you turn the assistant on, and turning it on submits the WhatsApp templates its reminders and follow-ups need on your number. Sample data lets you try it on day one, and sample clients are never messaged. If you also run a pilates, yoga or dance studio, Studio Assistant books classes and free trials and runs the waitlist.

FAQ

Frequently asked questions

How do salons use WhatsApp?

Salons use WhatsApp to answer price and availability questions, book appointments in the chat, send reminders clients can confirm or move with one tap, share aftercare instructions and invite clients back when their next visit is due. With the WhatsApp Business API, much of this runs automatically and the whole team works from one inbox.

Can clients book a salon appointment on WhatsApp?

Yes. A booking flow on the WhatsApp Business API asks for the service, the stylist and the day, offers free times as buttons and confirms the appointment in the chat. For live availability it needs your calendar or booking software, or a booking tool that keeps the calendar itself.

Do salon appointment reminders need template approval?

Yes, in most cases. A reminder sent a day before the visit usually goes out after the 24-hour customer service window has closed, so it must be an approved template message. A reminder about a booked appointment is normally a utility template.

Can I send offers to salon clients on WhatsApp?

Only to clients who agreed to receive messages from you, and only as approved marketing templates. Give every campaign a clear way to opt out, and keep offers out of your reminder templates, because mixing them makes the reminder a marketing message.

How much do WhatsApp reminders cost a salon?

Meta charges per delivered message by category and the client's country. A utility reminder costs a few cents or less in most markets, for example $0.022 in the United Kingdom on the October 2026 rate card used in our calculator. Since October 1, 2026 Meta also charges replies and utility templates sent inside the customer service window.
