WhatsApp for Gyms and Fitness Studios: Class Booking, Waitlists and Renewals That Fill the Room
Prospects ask about classes and prices while your coaches are teaching. Here is how gyms, pilates, yoga and boutique fitness studios turn those messages into booked classes, trials that become members and renewals that happen on time.

WhatsApp for gyms and fitness studios means running your front desk in the app your members already use: answering “what time is the beginner reformer class?” in seconds, booking a place or a free trial inside the chat, sending a reminder a few hours before class with “I’m coming” and “Can’t make it” buttons, filling a cancelled place from the waitlist and reminding a member before their class pack runs out. On the WhatsApp Business API this runs automatically while your coaches keep teaching.
The result is fuller classes, fewer empty mats from no-shows and more free trials that turn into members. This guide covers the use cases that matter most for a gym, pilates, yoga, dance or boutique fitness studio, sample messages and templates, the rules on reminders and offers, real costs and how to set it up.
Why fitness businesses are moving to WhatsApp
A studio’s busiest hours are the hours nobody can answer the phone. A coach in the middle of a class can’t reply, and a prospect who gets no answer for two hours often tries the studio down the road.
- Questions repeat. Class levels, what to bring, trainers, parking, plan prices, the cancellation window. A good assistant answers them from your own information.
- People decide in the evening. Many people plan their training week after work. A chat booking flow takes those bookings instead of leaving them for tomorrow’s call-back list.
- An empty place can’t be sold later. A reminder that lets a member give the place back in time lets you offer it to the next person on the waitlist.
- Trials are the front door. A free trial only pays off if it is followed up while the person still remembers the class.
- Renewals are predictable. A ten-class pack or a monthly plan ends on a date you already know, so the reminder can go out before it does.
The WhatsApp Business app is enough for a solo instructor with a handful of chats. When reception, coaches and a manager share the number, or you want automatic booking and reminders, you need the WhatsApp Business API. Our Business app vs API comparison explains the difference.

| Free trial | One trial per new person, booked in the chat | Reply or utility template |
| Full class | Waitlist; the first person waiting gets a freed place | Utility template |
| Reminder | A few hours before, with “I’m coming” and “Can’t make it” | Utility template |

Booking classes with real places
The mistake to avoid is offering a class that is already full. A booking flow should read capacity and existing bookings, show only classes with places and say what happens when a class is full.
Member: Hi, any beginner pilates this week? I've never tried it.
Studio: Yes! Beginner Reformer has places on:
[Wed 18:30] [Fri 09:00] [Sat 10:30]
Your first class is a free trial.
Member: Saturday please
Studio: Booked: Beginner Reformer, Saturday 10:30, free trial.
We'll remind you a few hours before.
Our guide to WhatsApp appointment booking covers buttons versus WhatsApp Flows forms in detail, and the Flows guide shows how a form collects class, level and name in one screen.
Waitlists that run themselves
When a class is full, offer the waitlist instead of a “sorry”. When someone gives a place back, the first person waiting gets it and is told straight away. Say in the first message how it works, including how long they have to confirm, so nobody is surprised by a late-night class.
Free trials that become members
A free trial is a lead, so treat it like one. Limit it to one per new person, remind them before the class, thank them after it, and ask whether the class fitted. The follow-up can point to the plan that matches what they said. The trial class lead capture page shows a full example.
Instagram DMs and story replies
Studios live on Instagram, and many first questions arrive as a reply to a story or reel. Treat those DMs as the same booking journey as WhatsApp, not as a second inbox. See our Instagram DM automation guide for Instagram’s messaging rules.
WhatsApp template examples for gyms and studios
After the 24-hour customer service window closes, you can only send approved template messages. Most reminders fall outside it. These templates fit fitness work; more are in our WhatsApp template message examples.
Class reminder (utility):
Hi {{1}}, a reminder of {{2}} with {{3}} today at {{4}}. Are you coming?
[I’m coming] [Can’t make it]
Waitlist place (utility):
Hi {{1}}, a place has opened in {{2}} on {{3}} at {{4}}. It’s yours if you confirm in the next {{5}}.
[Take the place] [No thanks]
Class cancelled (utility):
Hi {{1}}, we’re sorry: {{2}} on {{3}} at {{4}} has been cancelled. Your place is kept for {{5}}.
[See other times]
Trial follow-up (utility if it only asks about the class):
Hi {{1}}, thank you for trying {{2}} today. How did it feel? Reply here and we’ll suggest the plan that fits.
Pack almost used up (utility if it only states the balance):
Hi {{1}}, you have {{2}} classes left on your {{3}}. Would you like to renew?
[Renew] [Not now]
Win-back (marketing):
Hi {{1}}, we’ve missed you at {{2}}. This week’s classes still have places. Want to see them?
[Show classes] [Stop messages]
Meta classifies a template as utility when it is non-promotional and specific to, or requested by, the recipient. A class reminder fits; a reminder that adds “bring a friend for half price” does not, because content that mixes utility and promotion is classified as marketing. Meta can recategorize a template, and repeated misuse can restrict your ability to create utility templates. Keep reminders and renewals clean and send offers separately.
When to send each message
| Message | Timing |
|---|---|
| Booking confirmation | Immediately |
| Class reminder | A few hours before, by your cancellation window |
| Trial thank-you | Shortly after the class |
| Class cancelled | As soon as you decide |
| Pack renewal | When a few classes or days are left |
| Win-back | After a gap that is long for that member |
Rules fitness businesses need to know
- Consent first. WhatsApp’s Business Messaging Policy lets you message people only if they gave you their number and agreed to receive messages from you. Ask at sign-up, on the trial form and at the desk. The WhatsApp opt-in guide has sample wording.
- Honor every opt-out. If a member asks you to stop, remove them from campaigns. Put a Stop button on marketing templates.
- A real person within reach. Automation is allowed, but WhatsApp’s policy requires a prompt, clear way to reach a person. Injuries, billing disputes and complaints belong with your team.
- Treat health details with care. Injuries and medical conditions are sensitive. Save them only where coaches need them and don’t let a bot give medical advice.
- US members don’t receive marketing templates. Meta’s documentation says WhatsApp does not currently deliver marketing template messages to US phone numbers. Utility reminders still work.
What WhatsApp costs a studio
Meta charges per delivered message, by category and the recipient’s country. Since October 1, 2026 Meta also charges service messages (your free-form replies) and utility templates sent inside an open customer service window, at the market’s utility rate.
Example: a studio with 500 class bookings a month sends a confirmation and a reminder for each (1,000 utility messages) and 200 win-back or intro-offer messages (marketing). With the rates in our bulk messaging calculator:
| Market | 1,000 utility | 200 marketing | Total Meta fees |
|---|---|---|---|
| United Kingdom | $22.00 ($0.022 each) | $12.70 ($0.0635 each) | $34.70 |
| Spain | $20.00 ($0.02 each) | $14.14 ($0.0707 each) | $34.14 |
| Brazil | $6.80 ($0.0068 each) | $12.50 ($0.0625 each) | $19.30 |
| Turkey | $0.90 ($0.0009 each) | $2.18 ($0.0109 each) | $3.08 |
Add your chat replies, then compare the total with one month of a single member’s plan. For the full rules on categories and windows, see our WhatsApp Business API pricing guide.
How to run your studio front desk on WhatsApp with MonoChat
MonoChat is an official Meta Business Partner. It connects your number through the official WhatsApp Business API, and WhatsApp, Instagram and web chat messages land in one shared team inbox, so reception and coaches see the same conversation.
Studio Assistant from the MonoChat Store
Studio Assistant is an AI front desk for pilates, yoga and dance studios, boutique fitness studios and gyms with group classes, on WhatsApp, Instagram and web chat. It understands voice messages and replies in the person’s language.
- Only real places. Places come from your weekly timetable, each class’s capacity and the bookings already made. It never offers a class the timetable does not have.
- Waitlists that run themselves. A full class puts people on the waitlist; a place given back goes to the first person waiting, who is told at once.
- Trials that become members. One free trial per new person, a thank-you after the class with a button to see which plan fits, and a recommendation from your plans when they answer.
- Fewer empty mats. A reminder a few hours before each class with “I’m coming” and “Can’t make it”.
- Plans that renew. Members on a class pack or monthly plan are counted down class by class, and when a plan is nearly used up they get a Renew button that reaches your team.
- Your rules. Free trials, drop-ins, waitlists, the cancellation window and late cancellations follow your rules, checked on the server for every booking.
- Studio reports. Fill rate per class, no-shows with and without reminders, free trials and how many bought a plan, plans sold and attendance per trainer.
Studio Assistant does not take payments: it passes the plan request to your team and you record the plan. Setup takes about two minutes: pick your kind of studio (classes, a weekly timetable and plans are filled in for you), add your name, reception hours and trainers, then check the timetable and your prices. Nothing runs until you turn the assistant on, and turning it on submits the WhatsApp templates its reminders and follow-ups need on your number. Sample data lets you try it on day one, and sample members are never messaged.
