WhatsApp for clinics means using the WhatsApp Business Platform to answer patient enquiries, book and confirm appointments, send reminders and check in after treatment from one shared number that your whole front desk can work from. It suits dental, aesthetic, hair transplant and eye clinics, medical centers and health tourism teams, where most first contacts already arrive as a WhatsApp message or a tap on an ad.

The upside is speed: patients get an answer in minutes instead of waiting for a callback. The catch is that health conversations carry more risk than a shoe order. This guide covers the use cases that pay off, sample messages and templates, the rules on consent and health data, and how to set it up in MonoChat.

Why clinics move patient communication to WhatsApp

Phone lines are busy during clinic hours and closed after them, and email is slow for a patient deciding between two clinics tonight. WhatsApp fills that gap:

  • Patients reply. A reminder in a chat app the patient opens every day gets seen.
  • One thread per patient. Questions, booking, preparation steps and aftercare sit in one conversation instead of scattered calls.
  • International patients. Health tourism enquiries arrive from many countries and time zones, often in another language, often with voice notes.
  • Ad leads. Click-to-WhatsApp ads open a chat straight away, so the clinic that answers first usually gets the consultation.

The Business app works for a single doctor with a small list. Once several coordinators share one number, or you want automation and reminders, you need the API. Our guide to WhatsApp Business app vs API explains the difference.

Answering enquiries fast

Most enquiries are the same ten questions: price ranges, what a procedure involves, recovery time, location, parking and opening hours. Answer them from approved content, not from memory. A patient asking about teeth whitening should get the same answer at 23:00 as at 11:00.

Patient: Hi, how much is teeth whitening and how long does it take?

Clinic: Hi Lena, thanks for your message. In-office whitening at Bright Smile
Dental starts from 250 GBP and takes about 90 minutes in one visit. The final
price depends on a short check by the dentist.

Booking and confirming appointments

Let the patient pick a time inside the chat, then confirm it in writing. A booking form built as a WhatsApp Flow collects treatment, preferred doctor, date and contact details on a few screens without leaving WhatsApp. For a full walkthrough of booking logic, see our guide to WhatsApp appointment booking.

Reminders that cut no-shows

A reminder works best when it lets the patient act, not just read:

Hi {{1}}, a reminder of your appointment at Bright Smile Dental on {{2}} at {{3}}
with {{4}}. Please arrive 10 minutes early.
[I'll be there] [Change the time] [Cancel]

“Change the time” is the important button. A cancelled slot you hear about a day early can be offered to someone else; a silent no-show cannot.

Preparation and pre-visit questions

Some treatments need preparation (no food beforehand, stop a certain product, bring previous X-rays). Send the instructions you have written for that treatment, and ask the few administrative questions your team needs before the visit. Keep clinical intake for the consultation itself or for your secure systems, as covered in the rules section below.

International patient coordination

For health tourism, the work is coordination: country, treatment, travel dates, hotel and transfer questions, a quote, a deposit and a date. Track each enquiry through clear stages (new, photos received, quote sent, date set, treated) so nothing waits in a coordinator’s personal phone.

Aftercare check-ins and reviews

A short message a few days after a procedure shows care and catches problems early:

Hi {{1}}, this is the care team at Nova Clinic. How are you feeling after your
treatment on {{2}}?
[Feeling good] [I have a question]

“I have a question” should go straight to a person on your care team, not to an automated answer. Patients who report feeling good can receive your review link afterward.

WhatsApp template examples for clinics

Messages you start outside the 24-hour customer service window must be approved template messages. Meta’s guidelines say a utility template must be non-promotional and either specific to or requested by the user, or essential to them. Appointment confirmations, reminders and aftercare check-ins about a patient’s own visit fit that description. Anything that pushes a new treatment or a discount is marketing.

Appointment confirmation (utility)

Do not mix the two. A reminder with “and 10% off your next whitening” becomes a marketing template, with a higher price and stricter delivery. More samples are in our WhatsApp template message examples.

Get opt-in first

The WhatsApp Business Messaging Policy only lets you contact people who gave you their number and agreed to receive messages from your business. Add a consent line to your booking form, patient registration sheet or website, and ask for permission in the chat before sending reminders later. Our WhatsApp opt-in guide has wording you can adapt. You must respect every request to stop, wherever it reaches you.

Treat health data as sensitive

The policy says not to use WhatsApp for telemedicine or to send or request health information where applicable regulations prohibit sharing it with systems that lack heightened safeguards for health data. Laws such as the GDPR treat health data as a special category, and many countries have their own rules. In practice:

  • Use WhatsApp for logistics: bookings, reminders, directions, preparation steps, payment links and “how are you feeling” check-ins.
  • Do not send test results, diagnoses or detailed medical records in the chat. Send a notice that results are ready and point the patient to your secure portal or an appointment.
  • Do not ask patients for ID card numbers, full card numbers or bank account numbers. The policy prohibits requesting these sensitive identifiers.
  • Collect health details only when the patient agrees, store only what you need, and check with your legal advisor what applies in your country.

Keep AI on a short leash

An AI assistant is useful for a clinic when it answers from content you wrote and stops there. It should never diagnose, never comment on a photo or a result, and never invent a price. Emergency wording such as severe pain, bleeding or breathing problems should trigger your emergency number and a person, immediately. The policy also requires a clear escalation path, such as a transfer to a human agent, phone or email, whenever you automate replies. Our posts on AI-to-human handoff and AI chatbot data privacy go deeper, and WhatsApp’s 2026 AI chatbot policy covers what Meta allows.

What WhatsApp messaging costs a clinic

WhatsApp has used per-message pricing since July 1, 2025. Each delivered template is charged by category (marketing, utility, authentication) and by the patient’s country code. Since October 1, 2026, Meta also charges service messages (your free-form replies inside the 24-hour window) and utility templates sent inside that window, at the market’s utility rate. Messages sent in the 72-hour free entry point window that opens when a patient replies to a Click-to-WhatsApp ad stay free.

A worked example using the October 2026 rate card in our bulk messaging calculator, for a clinic in the United Kingdom:

MessageVolume per monthRate (USD)Cost (USD)
Confirmations and reminders (utility)2,0000.02244.00
Aftercare check-ins (utility)6000.02213.20
New treatment announcement (marketing)1,0000.063563.50
Total3,600120.70

Your free-form replies to patient questions now count as service messages at that same utility rate, so add them to the estimate. For a clinic treating patients from Turkey, the same reminder costs 0.0009 USD per message, so the patient’s country matters more than volume. See WhatsApp Business API pricing for the full breakdown.

How to run clinic messaging in MonoChat

MonoChat is an official Meta Business Partner. You connect your clinic’s WhatsApp Business API number, plus Instagram and web chat if you use them, and the whole front desk answers from one shared team inbox, with assignment and the full history for each patient. Our healthcare solution page shows the patient journey from enquiry to follow-up.

Clinic Assistant from the MonoChat Store

Clinic Assistant is an AI patient coordinator for dental, aesthetic, hair transplant and eye clinics and medical centers. It works on WhatsApp, Instagram and web chat, in the patient’s own language, including voice messages. In practice it:

  • Answers from treatment cards you write. Each card holds what the treatment is, the starting price, procedure time, stay, recovery and before/after photos. It quotes only the starting prices on your cards and never invents one.
  • Stays inside medical limits. It never diagnoses and does not read photos or results. Emergency wording gets your emergency number and a person, self-harm is escalated at once, and health details are kept only when the patient agrees.
  • Books your way. It collects the treatment and phone number into a call-back list for your call center, or books free times from your doctors’ hours itself.
  • Welcomes ad clicks. Someone who taps a Click-to-WhatsApp or Instagram ad gets that treatment’s card at once.
  • Tracks international patients on a board (new, photos, quote, date set, treated) and alerts your coordinator when an enquiry waits too long.
  • Prepares visits. It sends a confirmation, a reminder with I’ll be there, Change the time and Cancel, and the treatment’s own pre-visit questions.
  • Checks in after treatment on day 1, 3 and 7. A question or a written worry goes straight to your care team; happy patients get your review link.

Turning it on submits the WhatsApp templates its automatic messages need on your number, and a patient who writes STOP gets no more automatic messages. Sample data lets you try every screen before your first patient writes.

Build your own flows

If you prefer to design the journey yourself, WhatsApp Flows collect booking details in the chat, workflow automation sends confirmations and reminders, and payment integrations send deposit links through your own payment provider and confirm payments in the same conversation.

FAQ

Frequently asked questions

Can a clinic use WhatsApp to talk to patients?

Yes. Clinics use WhatsApp for enquiries, appointment booking, reminders and aftercare check-ins. Patients must opt in before you message them first, and you need to follow the WhatsApp Business Messaging Policy and the health data laws that apply where you operate.

Is it allowed to send medical results over WhatsApp?

The WhatsApp Business Messaging Policy says not to use WhatsApp for telemedicine or to send or request health information where applicable regulations prohibit sharing it with systems that lack heightened safeguards for health data. A safer pattern is to send a notice that results are ready and point the patient to your secure patient portal or a consultation.

Are WhatsApp appointment reminders free?

No. Reminders you send outside an open customer service window are template messages, billed per message by category and the patient's country. Since October 1, 2026, Meta also charges for service messages and for utility templates sent inside the 24-hour window, at the market's utility rate.

Can an AI chatbot answer patient questions on WhatsApp?

It can answer practical questions such as prices, opening hours, locations, preparation steps and how a treatment works, using content you approve. It should never diagnose, interpret photos or results, or improvise prices, and it must hand over to a person quickly when a patient needs one.

How do clinics reduce no-shows with WhatsApp?

Send a confirmation right after booking, a reminder before the visit with buttons to confirm, reschedule or cancel, and any preparation instructions. When a patient taps reschedule, a person or the booking flow offers a new time in the same chat, so the slot can be refilled.
